Photo & Video Media Policy for Alliant Treatment Center

Introduction

At Alliant Treatment Center and Alliant Health Group (collectively referred to as “Alliant”), we are committed to responsibly documenting life at our residential treatment center, community events, and organizational activities through photography and videography, while maintaining compliance with HIPAA, Ohio healthcare privacy laws (ORC § 3798), and 42 CFR Part 2.

 

 

Purpose & Compliance with Healthcare Privacy Laws

  • This policy governs the use of photo and video content for marketing, social media, newsletters, the company website, promotional materials, educational purposes, and internal communications. 
  • Alliant strictly prohibits the sharing of any Protected Health Information (PHI)— including medical records, diagnoses, treatment plans, or identifiable details about a client’s healthcare status—without separate, written HIPAA authorization.
 

Client and Staff Participation

  • Participation in photo and video recordings is strictly voluntary. 
  • Clients, staff, and visitors must sign a Photo & Video Release Consent Form before any non-identifying images or videos are used. 
  • Clients who decline consent are responsible for avoiding areas where photography or filming is actively taking place. While Alliant will make reasonable efforts to respect privacy, individuals who do not wish to be recorded should position themselves accordingly
 

Family & Visitor Consent

  • If family members or visitors appear in any media, they must sign a separate consent form before any content is published. 
  • Alliant staff will ensure that guests are informed of this requirement upon arrival.
 

Public and Group Photography

  • When capturing large group settings or public events, Alliant will post visible notices informing attendees that photography or videography may occur. 
  • Individuals who have not given consent must take reasonable steps to avoid the camera’s field of view.
 

Use & Storage of Media Content

  • Captured media may be used for:
    1. Social media platforms (Facebook, Instagram, LinkedIn, etc.)
    2. Company newsletters, brochures, and website content
    3.  Training and educational materials
    4.  Event promotions
    5. News releases and press-related publications
  • Media will be securely stored and only used for legitimate company purposes in accordance with Alliant’s Privacy Policy and HIPAA regulations. 
 
 

Request for Content Removal & Right to Withdraw Consent

  • Clients may withdraw consent in writing at any time by contacting: marketing@alliant-health.org,  3535 Lee ,Road, Shaker Heights, OH 44120
  • Revoking consent does not apply to materials already published before the request.
  • Alliant will not retroactively remove previously published content unless it violates HIPAA or state privacy laws.
 

Data Protection & Privacy

  • Alliant is committed to protecting personal and health information.
  • No client’s name, diagnosis, treatment details, or other PHI will be disclosed in media materials.
  • Any images or videos that may imply treatment participation will only be used if clients provide separate, HIPAA-compliant written authorization.
 

Policy Updates

Alliant reserves the right to update this policy as needed to comply with federal and state regulations. Any updates will be posted on the Alliant website under the Privacy & Media Policies section.
